The Process

From conversation
to automation

Right — here's exactly what happens from the moment you reach out to the day your workflows go live. No guesswork, no surprises, no mystery.

01
Week 0
The discovery call

This is a free 30-minute call and it's not a sales pitch — it's a conversation. We want to understand your business, who you serve, and where the time is being lost. Right, so the goal of this call is simple: figure out whether automation can actually help and what that looks like for your specific situation.

Tell us about your business — services, team size, how you currently manage leads
Walk us through a typical week — where the repetitive tasks are piling up
We'll identify 2–3 immediate automation opportunities on the call
No commitment — you walk away with clarity even if we don't move forward
What you get from this call

A clear picture of what's automatable in your business and a rough idea of what it would take to build it. That's it. You don't need to buy anything to get this.

02
Week 1
The deep dive

If the discovery call goes well and it makes sense to move forward, we go deeper. This is where we map out your entire operation — every task, every touchpoint, every tool you're using. And to do this properly, we usually need a second call and access to your current systems.

Walk through every manual task your team does on a daily or weekly basis
Review your current tools — CRM, email, calendar, phone system
Identify which tasks are best suited for automation right now vs. later
Map the full automation plan — every workflow, every trigger, every output
Output of this stage

A complete workflow map — a document showing every automation we'll build, how it works, and what it connects to. You see exactly what you're getting before any build starts.

03
Week 1–2
The demo build

Before we ask you to commit to the full build, we build one workflow and show it to you running live. Right — this is the most important part of the process. You see real automation working in your actual tools before there's any agreement. If it looks good and delivers what we said it would, then we move forward.

We pick the highest-impact workflow to build first — usually the one saving the most time
Built inside N8N, connected to your actual tools — not a sandbox demo
Live walkthrough call — you see it trigger, process, and output results in real time
You give feedback, we refine it — this is collaborative, not one-sided
Why we do this

We avoid making guarantees. Instead of promising results upfront, we just show them. Seeing one workflow running in your system is worth more than any pitch deck we could put together.

04
Week 2–4
Full build + launch

Once you're in, we build everything from the workflow map — all automations, all connections, all triggers. Then we do a launch call where we walk through every single workflow live, explain what it does, and confirm everything is running. Also, we don't disappear after launch — ongoing maintenance is part of the deal.

Full build of every workflow agreed on in the map — no shortcuts
Testing with real data before anything goes live
Launch call — thorough walkthrough of every automation in plain English
Ongoing maintenance and support — workflows kept running as things change
Regular optimization check-ins to find new automation opportunities
What happens after launch

You get a business that runs smoother with less manual work. We stay embedded — maintaining what's built, optimizing as you grow, and finding the next thing worth automating.

Deliverables

What you get when we're done

Live automations in your tools

Not a mock-up. Not a prototype. Real workflows running inside the actual tools your business uses every day.

Full workflow documentation

A clear document showing what every automation does, when it triggers, and what it connects to. So you're never in the dark.

Ongoing maintenance

We stay on after launch. Workflows are maintained, updated when your tools change, and optimized over time.

Hours back every week

The whole point — the repetitive tasks that were eating your team's time are now handled automatically, every single day.

Launch walkthrough call

A thorough call where we walk through every automation live. You see everything running and understand exactly how it works.

An eye on future opportunities

As your business grows, we actively look for the next workflow to build. Automation isn't a one-time thing — it compounds.

Timeline

How fast can this happen?

Day 0
Discovery call

30-minute conversation. Free. No commitment. We identify what's worth automating.

Day 2–4
Deep dive + workflow map

We go through your operations and build a full map of every automation. You get the document before we build anything.

Day 5–10
Demo workflow live

First automation is built and shown running in your tools. You see real results. We adjust based on your feedback.

Day 10–25
Full build in progress

All remaining workflows built, tested with real data, and prepared for launch. You get updates throughout.

Day 25–30
Launch call + go live

Everything is live. We walk through every workflow together. Your business is running on automation from day one.

Ongoing
Maintenance + growth

We stay embedded. Workflows are maintained, optimized, and expanded as your business grows.

FAQ

Still have questions?

What do I need to prepare before the discovery call?
Nothing formal. Just come with a rough sense of the tasks eating your team's time. Even a single example of a repetitive job that could be automated is enough to start the conversation.
Is the demo build really free?
Right — yes. We build the first workflow before any deal is made. We do this because we believe in showing results rather than promising them. If you don't like what you see, there's no obligation.
What if I only want one automation?
That's fine. We can build a single workflow if that's all you need. We don't push for more than what makes sense for where your business is right now.
How involved do I need to be during the build?
Mostly at the beginning (discovery and deep dive) and at the end (launch call). During the build itself, we handle everything — you just need to be available to answer the occasional question.
What happens if a workflow stops working?
We're responsible for maintaining everything we build. If something breaks, we fix it. You're not on your own trying to debug N8N at 11pm.
